Privacy

There are two parts of intake.ninja, and they have different privacy rules because they do different things.

  • The extension is the actual product. It’s a small program in your browser that holds your medical info and fills out forms for you.
  • This website is just a place to read about what intake.ninja is.

They are completely separate. The website doesn’t see anything the extension does. The extension doesn’t talk to the website. There is no shared account, no shared data, no connection between them.

The extension (where your data lives)

This is the strict one. Here is exactly what happens.

  • Your data lives only on your device. Not on our servers, because we don’t have any.
  • Your data is encrypted on your device using a passphrase only you know.
  • The extension can only see the specific intake-form websites it was built to fill — Headway, Alma, SimplePractice. It cannot see your email, your other tabs, your bank, or anything else. Chrome itself enforces this.
  • Nothing leaves your device unless you press the button to fill a practitioner’s form. No auto-fill, no background uploads, no syncing.
  • The extension does not collect statistics, send error reports, or ping us in any way. We have no idea who uses it.
  • The extension does not communicate with this website at all.

The website (where you are right now)

This is a regular website. We use it to explain the product. There is no sign-up, no login, no comments, no contact form. Regular websites use regular tools to run, and you should know what they are.

What this website does NOT do

  • It does not ask for your name, email, or address.
  • It does not let you create an account or sign in.
  • It does not show ads or follow you around the internet.
  • It does not sell or share visitor information with anyone.

What this website does use

  • A web host (DreamHost). They keep short logs of who visited which page, the same way every website does. We don’t look at them unless something is broken.
  • Google Analytics, via a plugin called Google Site Kit. This counts how many people visit each page so we can tell what’s useful. It’s set up to anonymize IP addresses, but Google still receives the visit. If you’d rather Google not know, an ad-blocker or your browser’s privacy mode will block it. We are considering moving to a more private alternative.
  • MainWP. A tool the operator (Eric) uses to keep this site updated and patched. It manages the site itself. It does not collect anything about visitors.
  • ShortPixel. Compresses pictures on the site so pages load faster. It only handles images on the site. It has nothing to do with the extension.
  • WordPress administration cookies. Set only when an administrator (Eric) logs in to edit the site. As a regular visitor, you don’t trigger these.

None of these site tools have any connection to the extension or to your medical information. They run the website. That’s it.

When you submit a form to a practitioner

Once you press the button and the form goes to Headway, Alma, SimplePractice, or whoever your practitioner uses, your information is in their system, governed by their privacy policy. We are out of the loop. We never had a copy. We don’t get one after the fact.

Children

intake.ninja is for adults managing their own care, or adults helping another adult.

If this changes

If anything in this policy changes, the date at the bottom updates. Big changes — like ever introducing accounts or ever moving data off your device — will be flagged clearly. The whole project is built so we never have to.
